Problems and contingency

The photo deadline moves earlier after the event

How to ask for your photographs sooner, and what an earlier date may mean for editing.

Opens WhatsApp with a ready-made message. Edit it, then press send. No commitment.

Short answer

Explain what changed, which images you need first and by when. Ask whether an earlier delivery is possible and what it would mean for the rest of the gallery. The original date stays in force until a new one is agreed in writing, so a request for an earlier date is not a missed deadline. A smaller early set is often more realistic than the full gallery.

Plans move after the event. A board meeting is brought forward, a publication changes its deadline, a sponsor asks for evidence sooner. Suddenly the photographs agreed for a later date are needed now. This guide is part of our pages on when event photography plans or delivery go wrong.

What the agreed date means

The delivery date in your written quotation or confirmation is the date both sides agreed. If you now ask for something earlier, you are proposing a change. We may be able to agree to it, offer part of it, or find that the schedule cannot change.

Until a new date is confirmed in writing, the original date applies. That also means a request for an earlier date is not evidence that our photographer has missed a deadline. Our guide to the gallery being later than the agreed delivery date deals with actual late delivery.

Explain the new need

A good request is specific. It says:

  • What changed and why the date moved.
  • The new date and time you need the images.
  • Which images matter most.
  • What they will be used for.

Specific information lets our photographer judge what is possible. "As soon as possible" is harder to plan around than "eight selected images by Thursday noon for a press release". Our priority photograph list builder helps you rank what you need.

A smaller early set

The most realistic answer is often a smaller early set. Editing a whole gallery takes time, and an earlier date may mean choosing a limited number of images to finish first, with the rest following on the original schedule.

OptionWhat you get earlyWhat follows
Early selectionA few finished images chosen by youThe full gallery on the agreed date
Preview setLightly edited imagesFinal edited gallery later
Full gallery earlierEverythingOnly if possible, and confirmed

Our guide to preview photographs and the final gallery explains why these are different deliverables. If you need to choose, requesting routine selections and agreed revisions describes how selection requests work in practice. The post-event delivery and approval calendar lets you place each step against your new date.

What an earlier date may change

An earlier delivery can affect other things:

  • The order in which our team finishes other work.
  • The time available for checks and corrections.
  • The approvals you need from your side.
  • The price, if extra work is involved.

We say clearly what we think it changes, and confirm any adjustment to the scope or price in writing before work starts. An earlier date may or may not be free, and we check it for your case. Record the revised scope in the photography scope change log.

Plan your approvals

An earlier date also compresses your own review. If images need approval from leadership, a sponsor or a guest, the time for that shrinks too. Our guide to building a useful event recap from the gallery shows how to choose a small set for a quick report.

A hypothetical example

Imagine an organiser whose quotation says the gallery will arrive on a certain Friday. On Tuesday, her director asks for highlights to be shown at a meeting on Wednesday afternoon.

She writes to our photographer, explains the meeting, lists ten moments in priority order and asks whether an early selection is possible. Our team replies that a set of ten finished images can be ready by Wednesday midday, with the full gallery following on the original date. She confirms, the revised scope is noted, and the original schedule for the rest remains in place.

If the answer is no

If the new date cannot be met, ask what the closest option is. It may be a smaller set, a later time on the same day or a lightly edited preview. If none works, keep the original schedule and plan the meeting around the images you will have. A clear, early request makes a yes more likely and a no easier to plan around.

Questions to prepare

  • What is the new date and time?
  • Which images must be ready first?
  • Who will approve them?
  • Can the rest wait for the original date?

Send us the new date and your priority images, and we will confirm how our team will cover the change.

Checklist

  • State what changed and the new date you need.
  • List the images you need first, in priority order.
  • Check your quotation for the agreed delivery date.
  • Ask whether a smaller early set is possible.
  • Ask what an earlier date changes about scope or cost.
  • Get the revised date in writing before you rely on it.

If you are our client, send us the new date, the images you need first and the reason through the booking support page. We will tell you in writing what we can agree. If you are planning, tell us now about deadlines that might move.

Ask for an earlier delivery date

Common questions

Are you late if I now need photos sooner?

No. The agreed delivery date is the one in your written quotation or confirmation. A new, earlier request is a change, and it needs to be agreed. Until then, the original schedule applies, and we would not treat it as a missed deadline.

Can the whole gallery be delivered earlier?

Sometimes not. Editing a full gallery takes time, and an earlier date may mean a smaller first set. Ask what can be delivered by your new date and what follows later. We say what is realistic once we know the images and the schedule.

Will an earlier delivery cost extra?

It may, because it can change the workload and the order of other work. We confirm any change to the price or scope in writing before it begins.

What if you cannot meet the new date?

Then the original delivery date stays, and you can discuss alternatives, such as a smaller preview set. Our guide to preview photographs and the final gallery explains the difference. Decide which images matter most, so effort goes there.

What happens next: You send your event details on WhatsApp. Our team reads the brief, asks what is missing, then confirms in writing whether the date, venue and coverage can be booked, with a quotation. Opening WhatsApp does not send anything, and a message is not a booking until both sides confirm.
