Booking, scope and changes

Check venue photography rules before you book

Check that your venue allows photography before you commit to a booking.

Opens WhatsApp with a ready-made message. Edit it, then press send. No commitment.

Short answer

Decide before the booking is confirmed who will ask the venue, institution or organiser for photography access, and by what date. Also decide what happens to the booking if the answer is no or late. Record outstanding approvals in writing. Access rules differ by place, so ask the actual venue for your date rather than relying on rules elsewhere.

Many bookings depend on a third party. A hotel, a school, a place of worship or a government facility may have its own rules about who can photograph and where. If access is not confirmed, the booking rests on an assumption.

This guide belongs to our booking and scope guide. Restrictions that appear on the day itself are covered in the venue restricts photography access on the day.

Who controls access?

Three kinds of party can hold access.

PartyExampleWhat they decide
VenueA hotel, hall or park operatorEntry, times, equipment, fees
InstitutionA school, club or workplaceWho may photograph members or students
Event organiserA promoter or committeeCredentials, positions, restricted zones

More than one may apply. A hotel hosts an organiser's event, and both may have rules. Ask each who decides what.

Decide who obtains access

The most common gap is that each side assumes the other will ask. Settle it in writing.

  1. Who asks? The host, the organiser or our team.
  2. Whom do they ask? A named contact at the venue or institution.
  3. By when? A date that leaves time to react.
  4. What do they send? Names, dates, equipment details, evidence of cover, a brief.

If our team asks on your behalf, we tell you what we sent and what came back. If you ask, we supply the details you need. Our photography responsibility planner records who does what.

Rules vary by place

Do not assume that rules from another venue apply to yours. Flash, tripods, positioning, credentials, working hours and fees all differ. Some places have policies and some decide case by case. Ask the actual venue or authorised organiser for your date, and keep the reply.

Our venue photography checklist lists questions to ask. For insurance evidence a venue may request, see what to agree about event-photography insurance. For arrival and induction rules, see confirming supplier arrival and induction requirements in the booking.

Outstanding approvals and the booking

If access is not yet confirmed, you can still book in some cases, but the booking should say what is outstanding.

SituationWhat to record
Access pendingThe approval, who is asking, the deadline
Access granted with conditionsThe conditions and who meets them
Access refusedWhat alternatives exist and what happens to the booking
Access changed lateThe change and the effect on scope

We state in writing how an unresolved approval affects the booking, and we treat a pending approval as open until it is confirmed.

A hypothetical example

Imagine a school wanting photographs of a prize-giving in its hall. The principal's office must approve any photographer it did not appoint. The parents' committee books our photographer subject to approval and notes the deadline.

The principal asks for our team's name and the date. The committee passes them on and records the reply. When approval arrives with a condition about positions, the committee adds it to the brief. Had approval been refused, the booking terms would have said what followed.

When the venue is private or personal

At a home or small private venue, access is usually simple but still worth confirming. Ask the owner about parking, setup and restricted rooms. For events in places of worship or community halls, ask the person responsible for the premises what is customary and what is permitted. Do not assume customs from your own experience.

Keeping a dated record

Record each request and answer with the date and the name of the person who replied. The venue-access change and recheck tracker does this. Recheck access close to the event, because arrangements can change.

What we do

We tell you what we need from the venue, who will ask and by when. We confirm date, venue, crew, deliverables and quotation in writing, and we list any access still outstanding.

Questions to send to the venue

Send the venue a short message with the event date, the number of crew, the equipment to be brought and the times of arrival. Ask whether photography is permitted, whether any approval or fee applies and who the contact is. Keep the reply with the booking file, and send us a copy so we can update the list of outstanding approvals.

Checklist

  • Identify who controls access: venue, institution or organiser.
  • Decide who will ask, and by what date.
  • Ask for the venue's requirements in writing.
  • List outstanding approvals in the booking.
  • Agree what happens if access is refused or late.
  • Record each answer with the date.
  • Tell our photographer at once when an answer arrives.

Send us the venue and the contact who can approve photography, and we will tell you in writing what we need from them and how it affects the booking.

Ask about access at your venue

Common questions

Who should ask the venue for permission?

Agree it in the booking. Often the host or organiser has the relationship, and our photographer supplies the details to pass on. Name a person and a deadline. If our team asks the venue directly, agree that in writing too.

Can we book before the venue replies?

Sometimes, with the access listed as an open condition. Ask what happens to the booking if the venue refuses or changes its terms. Record it in writing.

What do venues commonly ask for?

It varies. Some ask for names, dates, equipment details or evidence of cover. Ask the venue to state its requirements for your date.

What if access is refused?

Ask what alternatives exist, such as different areas or times, and what the booking terms say. See the guides on rescheduling a booking and changing the venue. Record the decision.

Ask about access at your venue

Send us the venue and the contact who can approve photography, and we will tell you in writing what we need from them and how it affects the booking.

What happens next: You send your event details on WhatsApp. Our team reads the brief, asks what is missing, then confirms in writing whether the date, venue and coverage can be booked, with a quotation. Opening WhatsApp does not send anything, and a message is not a booking until both sides confirm.
