What to agree about event-photography insurance

Your venue or client has asked about insurance, so learn what to agree and what to ask us.

Short answer

Insurance requirements differ between venues, clients and contracts, so start by finding out who is asking and why. A venue, a client or a contract may require specific cover. Ask them to state the requirement in writing, ask our photographer what evidence they can supply, and take any question about adequacy or law to a qualified adviser.

Insurance questions often arrive late. A venue manager emails a week before the event asking for a certificate, and someone has to find out what is needed. Asking early removes the scramble.

This guide belongs to our booking and scope guide. It explains questions to ask. It does not tell you what cover you need, and it does not describe any supplier's cover.

Who is asking, and why?

Start with the source of the requirement.

SourceWhat it may ask forWhere to get it
VenueEvidence of cover for suppliers working on siteThe venue's written conditions
Client or organiserCover as a condition of the contractThe contract or brief
Law or regulationWhatever applies to the activityA qualified adviser or official source
Business preferenceCover the buyer would likeYour own policy

Do not confuse these. A venue rule is not the same as a law, and a client's preference is not the same as a venue rule. Ask the party who made the request to state it in writing.

What to ask the venue or client

  1. What type of cover is required, if any?
  2. What minimum amount or other condition applies?
  3. In whose name must the evidence be?
  4. By what date is it needed?
  5. Where should it be sent?

Venue rules for suppliers also include access, flash and positioning, and these differ by venue. Do not assume a rule from another venue. Our venue photography checklist lists the questions to put to a venue.

What to ask our team

Ask what evidence can be supplied for your event dates and in what form. Ask whether the document names the right entity. Ask whether the cover applies to the activity at your venue. When you tell us the requirement, we say in writing what we can supply and what is still to be confirmed.

If the evidence is not available in the form requested, ask the venue whether another form will do. Do not wait until the event week to find out.

Where cover is shared

If several parties work at the event, each may carry its own cover. Ask the organiser who requires what from whom. See confirming supplier arrival and induction requirements in the booking for related venue conditions. If our photographer uses colleagues or assistants, ask how they are covered. See clarifying assignment and subcontracting in a photography booking.

A hypothetical example

Imagine an association hosting a gala in a hotel. A week before, the hotel asks all suppliers for evidence of cover. The organiser forwards the email to our team, who replies the same day with what can be supplied. The hotel confirms it is acceptable.

The organiser had asked for the requirement on the day of booking and had noted the hotel's deadline. Nobody needed to chase. The record of requirement, evidence and date sat with the booking.

Law and contract

Some questions need a professional: whether a given cover is adequate, whether a clause shifts risk fairly, whether a regulation applies. A qualified adviser can answer these, and you can then give our photographer the outcome as a plain instruction.

Do not describe cover as mandatory, or as unnecessary, unless a document or an adviser says so. If the venue says it is required, treat it as a venue requirement and confirm it in writing. See venue permission, participant permission and photographer terms.

Keeping a record

Record the requirement, the evidence supplied, the date and the recipient. Our venue-access change and recheck tracker can hold these alongside access details.

What we do

We ask for the requirement early, tell you in writing what we can supply, and flag anything still to be confirmed. We confirm date, venue, crew, deliverables and quotation in writing as usual.

Questions to ask yourself first

Before you contact anyone, ask who is asking, whether they have put it in writing and what they will do with the evidence. Then ask whether the answer changes your booking date or scope. If it does, tell our team early so that the plan can adjust before the event. Send us the venue's request and its deadline, and we will reply in writing with what we can supply.

Checklist

  • Ask the venue or client for the requirement in writing.
  • Note the date by which evidence is needed.
  • Ask our photographer what evidence can be supplied.
  • Agree who sends it and to whom.
  • Check names and dates on any document.
  • Ask a qualified adviser if adequacy is unclear.
  • Record what was supplied and when.

Send us the insurance wording your venue or client requires, and we will tell you in writing what we can provide before you commit.

Common questions

Is insurance legally required for every event photographer?

Requirements depend on the activity, the venue, the client and the contract. Ask a qualified adviser about your own case, and ask the venue or client for their requirement in writing.

What can our photographer show as evidence?

That depends on what our photographer holds. Ask what documents can be supplied, such as a certificate or schedule, and for which dates. We confirm in writing what we can provide for your event.

Who is responsible for getting the evidence to the venue?

Agree this in the booking. Often the client passes the venue's request to our photographer. Name a person and a date, so it is not left to the week of the event.

Does the client need its own cover?

Possibly, depending on the venue and the event. This is a question for the organiser, the venue and an adviser. Any cover held by our team does not stand in for yours unless a document says so.

Send us your insurance requirements

Send us the insurance wording your venue or client requires, and we will tell you in writing what we can provide before you commit.

What happens next: You send your event details on WhatsApp. Our team reads the brief, asks what is missing, then confirms in writing whether the date, venue and coverage can be booked, with a quotation. Opening WhatsApp does not send anything, and a message is not a booking until both sides confirm.
