Short answer

A named photographer gives you a known style and a person to build trust with. An assigned team gives flexibility and cover if someone is unavailable. Neither is better in every case. What matters is that you know who will attend, what their relevant work looks like and how changes would be handled and confirmed in writing.

Some clients want one particular person. Others only want a dependable result and do not mind who delivers it. Both are reasonable. This page explains the trade-offs so you can say clearly what you need.

This page belongs to our guide to choosing an event photographer.

What is the difference?

When you book a named photographer, you choose a specific person based on their work. You expect them to attend, and the booking depends on their availability.

When you book an assigned team, you choose a business or crew, and the people who attend are confirmed by the business. You judge the business's overall work and process, and expect the assigned members to match it.

Both structures exist across the industry, and each can be done well or badly. The difference is in what you can rely on.

What do you gain from a named photographer?

  • A known style, because you chose the person.
  • A direct relationship, since you may speak with them before the event.
  • Clear expectations about who will appear.

The cost of this clarity is dependence. If that person is ill, double-booked or unavailable, the booking is affected. Ask any business what the plan is in that case.

What do you gain from an assigned team?

  • Flexibility if someone is unavailable, since another member may step in.
  • Capacity for larger events that need more than one person.
  • Shared standards, if the team works to common methods.

The cost is less certainty about who arrives. That is manageable if the assignment is confirmed in advance in writing.

What should you know about the person attending?

Whichever structure you choose, you are entitled to ask:

  • Their name and role at your event.
  • Whether they will work alone or with others.
  • How to reach them or the team before the day.
  • Who to contact during the event if plans change.
  • What relevant examples can be shared, and with whose permission.

For large events, our guide to photographer, assistant and on-site editor roles explains how roles are divided. For multi-crew events, see assessing a team before a multi-day or multi-crew event.

A worked example

Imagine a family planning a 150-guest anniversary dinner. They would like one particular photographer. They ask the business, which checks that person's availability on the date and confirms the answer in writing, with a stated plan if illness prevents attendance.

Now imagine a company planning a three-hour product launch that cares more about reliability than about a particular person. It asks for an assigned team and asks the business to confirm names a week before the event. Both clients end up with clear arrangements, even though they chose differently.

Which should you choose?

Choose a named photographer when style and personal rapport matter most and your date is fixed. Choose an assigned team when the event is large, the date is firm and you value cover more than a single personality. If you cannot decide, ask each business the same questions about both and compare the written answers. The one that explains the arrangement most clearly has usually thought about it most.

How do we handle this?

We are a photography business with our own team. We confirm the crew assigned to your event when we confirm the booking. The exact arrangement depends on your date, the scale of coverage and availability, so we set it out in the written confirmation. If you want a specific person or have concerns about who attends, tell us at the start so we can explain what is possible.

What if the assignment changes?

Ask any business how change would be handled before you book. How to evaluate a proposed replacement photographer before accepting covers what to ask if a change is proposed to you. You can track decisions using our event photography responsibility planner.

If you have a preference about who attends, tell us your date and what matters to you. We will explain what we can arrange and put the confirmed crew in writing.

Checklist

  • Ask whether you are booking a named person or a team with an assignment.
  • Ask when the assignment is confirmed.
  • Ask who will attend, and what examples relate to that person or crew.
  • Ask what happens if the assigned person cannot attend.
  • Ask who you contact on the day.
  • Ask for these answers in the written quotation or booking confirmation.

We confirm the crew assigned to your event when we confirm the booking. If you have a preference or a concern about who attends, tell us early and we will explain what can be arranged for your date.

Ask who would attend your event

Common questions

Can I request a particular photographer?

You can always ask us. Whether it is possible depends on availability and on how we assign crew for your date. Ask early, and we will give the answer in writing, including what happens if that person becomes unavailable.

Is a team less personal than a single photographer?

Not necessarily. A team can be warm and consistent if it communicates well and plans together. A single photographer can be distant if they say little before the day. Judge by how a business communicates with you, not by its structure.

What should I know about the person attending?

Ask for their name, what role they will have on the day and how to reach them or the team before the event. Ask who you contact during the event if something changes. We confirm these details when we confirm your booking.

What if the assigned person changes before the day?

Ask in advance how you would be told. A sensible arrangement involves clear notice and a written update to the booking details. If a change happens on our side, we tell you directly and confirm the updated crew in writing.

Ask who would attend your event

We confirm the crew assigned to your event when we confirm the booking. If you have a preference or a concern about who attends, tell us early and we will explain what can be arranged for your date.

What happens next: You send your event details on WhatsApp. Our team reads the brief, asks what is missing, then confirms in writing whether the date, venue and coverage can be booked, with a quotation. Opening WhatsApp does not send anything, and a message is not a booking until both sides confirm.
